How To Think Like A Geek (And Add An Extra Hour Of Free Time To Your Day)

Who wants to find an extra hour of free time in their day, every day? Considering we're all stressed out because there's never enough time to get everything done, this is what I would call a "leading"question.

So how can you do it? By looking at the seemingly innocent, time-sucking activities you or your staff are spending time on every day and either automating them, controlling them or speeding them to completion using technology.

Here are four time-saving techie tips that will add time to your day or your employees' day.

1. Use an aggressive spam filter. Over 80% of the e-mails being sent daily are spam. And if you're like me, you're getting dozens of these every day, which can easily add up to 5-10 minutes per day sifting, sorting through and deleting the spam from the e-mails you want. Plus, eliminating spam temptations from your staff will not only cut down on the time they waste on it, but will also drastically reduce your chances of getting viruses and spyware on your network.

2. Replace Old PCs. While it's hard to truly estimate how much total time is wasted waiting on an old, slow computer to process tasks, start up, etc., I can tell you, it adds up. Let's say your old PC takes 10 seconds longer to process a task than a fresh, new one. Might not seem like a lot, but with users averaging 100-150 tasks a day conservatively, they are wasting 16-25 minutes a day. Add in the crashes and other problems old PCs cause and you're probably closer to 30-35 minutes a day.

3. Maintain Your Network. Another tip that will save you a lot of time is patching, updating and optimizing your server and workstations. You'd be surprised how much slower even a new machine will start to run if not maintained properly.

4. Install Web Filtering. Many companies now limit the sites that can be accessed during a day, because many of them have nothing to do with job performance. The Internet has made all our lives easier. We can shop online, pay bills and, most importantly, keep in touch with our friends and family. Much of this web activity takes place during work hours. With the addition of so many social media options (Twitter, Facebook and others), the time spent using these sites on company time can only increase. The amount of time can be as little as 15 minutes a day to 40 minutes a day average. Oh and that doesn't include NCAA March Madness!

Give us a call at 717-291-0370 and we can show you how these techniques and technologies can streamline your operations, saving you a LOT of time!

EZSolution Is Your Business on Facebook

If you are not on Facebook you might not realize that you can have a business as well as a personal profile. I know, you are saying "why would I want to do that"? Currently there are more than 400 million users on Facebook and 50% of the users log onto their account in any given day.

There are a couple of ways to interact with people on Facebook.

Individuals. Make sure that some people in your company are on Facebook as individuals. This is the best way to learn how people use Facebook. You should start by setting up a personal account, entering your information, and finding some of your friends.

Company Page. A company page lets you provide information about your business along with an event calendar, video, photos, discussion board, and much more. People can select to "like"your company by clicking this icon.

Examples:

EZSolution- www.facebook.com/ezsolution
Isaac's Deli- www.facebook.com/isaacsdeli

After talking with many clients, the common statement I've heard is, "I don't have time to manage my Facebook account."

I listened and put together a program on how we can manage your Facebook business profile.

Shiny New Gadget Of The Month
    Snagit- ByTechSmith

This month's pick is not really a gadget. It's a cool, inexpensive software program you'll easily get addicted to. Snagit is an easy to use screen capture software that allows you to copy, edit, share and organize images captured off of your computer screen. The more you use Snagit, the more ways you'll find to use it.

For example, if you are working with a designer or programmer to develop a web application or website, Snagit will allow you to capture a screen shot of the web page and add comments, cut and paste sections, add instructions, edit the design, and much more, making your communication much more precise and clear.

Creating a user guide or instruction manual? You'll love Snagit because you can capture segments of a computer screen and add comments and instructions right over the area (or document) you are explaining, making even the most complicated processes and software easy to follow.

Best of all, you can store these images in various image files (jpeg, png, gif, etc.) and cut and paste them into an e-mail, Word document, website, etc. Snagit costs $49.95 for a single user license and can be purchased at www.techsmith.com. If you want to try before you buy, you can download a 30-day free trial at the above website as well.

    Client Profile -Oak Leaf Manor

Oak Leaf Manor is a personal care and retirement living facility. Over the years, they saw more and more residents needing Alzheimer's care. In December of 2009, they relocated their Memory Care to a new two story wing at their Landisville location. They are currently expanding the Memory Care at their Millersville location.

Lynette Trout is President of Oak Leaf Manor -Here's her story:

"There are very few Personal Care facilities that offer secured memory-support for those with dementia or Alzheimer's.

In addition to marketing our product, though, Oak Leaf Manor also wanted to offer assistance to families in the early stages of dealing with the disease by creating a website,

    www.copewithalzheimers.com

to address their questions and provide them with more useful information. Since we knew that doing this project right would mean getting some outside expertise, we hired a local web development company who had been recommended to us. Unfortunately, the project seemed to take much longer than expected, and eventually much of the work ended up on my desk for completion.

While I was hesitant to work with another web development company after this experience, I found working with EZSolution to be completely different.

Tom took the time to discuss ways of organizing the content for my site in ways that make visitors able to find the information they need. They had our site up and running in under 30 days!

I highly recommend EZSolution to anyone looking to build a website."

The Biggest Threat To Your Company's Critical, Confidential Data Revealed
If you ask most business owners what the biggest threat to their company's network and data is, they might say, "viruses, hackers and cyber criminals,"or perhaps "faulty hardware, software and system failures". But research is showing a much different reality.

According to a recent study published by Computer Economics (a research and metrics company for IT managers), it was revealed that employee sabotage -whether it be for financial gain, retribution or some other motivation -accounts for a bigger threat than viruses, hackers, hardware failures and natural disasters.

With so much critical data and operations tied up in a company's network, internal sabotage from employees becomes an even greater risk. In a matter of minutes, an employee can delete software or erase years of data vital to a company. They can purposefully download viruses or attempt to tarnish their employer's reputation by posting pornography on their company's website or spamming all clients with racist, hateful and slanderous e-mails. Or they can simply download client lists and other confidential information and sell it to competitors, post it online or use it to start a competitive business.

What are the reasons why they do this? The biggest one given is simply "job dissatisfaction."Another contributing factor seems to be the recent downturn in the economy. Cutbacks, layoffs and fewer raises have given rise to employees stealing data, equipment or money.

For example, a law firm recently discovered their internal IT person was purchasing computer equipment on the company's credit card and reselling it on eBay. He had embezzled over $40,000 before the company caught up to what he was doing.

Another company suspected that one of their employees was stealing and suspended them from work until a further investigation could be conducted. When the employee caught wind of what was happening, the employee deleted over a year's worth of company e-mails -all containing important client records and history -in an effort to cover his tracks. Fortunately this company had a solid backup system in place and was able to immediately recover all the data within a few hours.

To protect yourself, we strongly recommend you have an offsite backup of your data in place. Call Jeff at 717-291-0370 to talk about offsite back up.

    Referral Program
We will pay you $25 for any one that you refer to us that we get an appointment with.

When your referral becomes a client (and has spent $1000 or more) then we will pay you $50 more. And, we will give your referral $100 off their purchase.
