The 12 Most Important Rules Of E-mail Etiquette


More than 80 years have passed since Emily Post wrote her first book on etiquette. Back then, the rules had more to do with how to properly introduce someone and which fork to use at a dinner party. But with the introduction of new communication tools comes new rules of engagement. Here are 12 quick tips and rules for what is - and isn't - acceptable behavior when using e-mail.

  1. Be concise and to the point. Read your e-mail to make sure it makes sense before sending to avoid e-mail "ping-pong."

  2. Use proper spelling, grammar & punctuation. This is still a communication and a representation of YOU. Sloppy spelling and punctuation looks unprofessional.

  3. Don't use e-mail to deliver bad or personal news. If you need to discuss a serious matter with someone, only use e-mail to request a face-to-face meeting or phone call, not to deliver the news.

  4. Do not attach unnecessary files, especially large ones. Sending big files can cause someone's e-mail system to clog, shut down or crash. Instead, use www.yousendit.com for large documents.

  5. Do not overuse the high priority option. Use it only when something is truly critical and time sensitive.

  6. Do not write in CAPITALS - it's the equivalent of shouting.

  7. Do not overuse "Reply to All." If you have a message for the sender that is not relevant to everyone else, make sure you only send it to that person.

  8. Do not "CC" everyone when sending a broadcast to multiple people. Instead, use the bcc (blind carbon copy) to keep everyone's e-mail private.

  9. Don't overuse abbreviations and emoticons.

  10. Don't use neon colors, hard to read fancy fonts and background images. They make it difficult - if not impossible - to read your message.

  11. Do not use email to discuss confidential information. If you don't want the entire world to see it, then don't put it in an e-mail. 

  12. Include an informative email signature. At EZSolution, many of us include a photo in the signature along with address, phone and email address. If you have a social media link like Facebook, Twitter or LinkedIn, include that as well.

Real Estate Education Center offers classes for pre-licensing, classes to meet and maintain continuing education requirements and classes to advance your career by offering courses leading to a broker's license.

Serves all of Pennsylvania At the new website, www.realestateeducationcenter.org, almost all of the coursework and testing can be completed on-line and this is available to anyone living anywhere in the Commonwealth of Pennsylvania. Pre-license testing still needs to be in person, but the rest can be done on-line. Sandra Troccoli and Chris Thomas of Real Estate Education Center worked as a team to make major changes in the usability and feel of the website.

Sandra commented, "We had an existing website that was built on an old technology platform; it was not very administrative friendly. Chris didn't have the means to easily, efficiently and seamlessly update our website."

We wanted a Consumer-Friendly website
"We asked EZSolution to build us a website using the best current technology. Additionally if we build it today, in the future we want that platform to easily accept any change in technology. Whether administrative or a reporting capability, we wanted a consumer friendly website that was easy to navigate, easy for customers to find the courses, and register on-line."

"We wanted to move our school into the 21st century from a website perspective.  We thought that creating a site to serve three distinctive customers would be challenging.  In the long term we wanted additional administrative tools, from a reporting and marketing perspective. The best thing happened yesterday
"The best thing I found out was what happened yesterday. Every November it usually takes me six hours to add next year's pre-licensing classes to the old website, because we have 6 schools. Sandra continued, "The technical support has been wonderful. What we discovered with EZSolution was they understood there were really two customers in this project.
